Emma-Kate Robinson is the controller responsible for the personal information described in this notice. For privacy questions, email hello@thethoughtfulcollection.com. Postal correspondence should be addressed to Emma-Kate, 6th Floor, 167–169 Great Portland Street, London W1W 5PF, United Kingdom.
The Thoughtful Edit
If you choose to subscribe, MailerLite processes your email address, signup source (such as Instagram, TikTok or an article), campaign label, signup page, subscription status and confirmation records, including dates and IP addresses. We use these to deliver the weekly edit, confirm your choice, manage delivery and honour unsubscribe requests. We also use signup source and campaign labels to understand which promotions bring readers to the newsletter, relying on our legitimate interest in improving it. These labels describe a promotion and page; they are not unique visitor identifiers. We rely on your consent to send the newsletter. You do not need to subscribe to read the website.
You receive a confirmation email before your subscription becomes active. You can withdraw your consent using the unsubscribe link in an email or by contacting us. Withdrawing consent does not affect processing that was lawful before withdrawal.
Email measurement
MailerLite records delivery and link-click activity for The Thoughtful Edit. We use overall newsletter results to understand which content is useful and improve future editions, relying on our legitimate interests in running and improving the newsletter. This is separate from your consent to receive it. Open tracking is switched off for the welcome email and in our default campaign settings.
Links pass through MailerLite’s servers before reaching their destination. Its records associate the link with a subscriber and may include the time, IP address and browser or approximate-location information. We do not use individual click histories for advertising, personalised targeting, automated decisions or click-triggered follow-up emails.
You can object to this measurement by contacting us at hello@thethoughtfulcollection.com. MailerLite does not offer a separate click-tracking switch or allow click history to be erased independently of the subscriber record. We will respond to objections and erasure requests, explain the available options and stop processing where required. Unsubscribing stops newsletters but does not itself erase earlier records; our retention approach is explained below.
Contacting us
When you email us, Microsoft Exchange Online processes your email address, message, attachments and correspondence details. We use them to respond and manage the enquiry. We rely on our legitimate interest in responding to messages, resolving questions and maintaining relevant correspondence. Please avoid sending sensitive personal information that is not needed for your enquiry. Sending an enquiry does not subscribe you to the newsletter.
Website delivery
The website is delivered through OpenAI Sites and Cloudflare infrastructure. Delivery and security services process technical request information such as IP addresses and browser information. The page requests font files from Google Fonts. The newsletter form is displayed by our own website without loading MailerLite’s embedded scripts. When you submit it, your browser sends your email address and signup source, campaign and page labels directly to MailerLite to process the signup; MailerLite also receives technical connection information, such as your IP address. The submission does not send browser cookies or use the embedded form’s browser identifier. We use technical information to operate and protect the website, relying on our legitimate interest in providing a reliable and secure service. See the cookie notice for information about website storage and your choices.
Website analytics
Only if you select “Allow analytics”, Google Analytics measures visits, pages viewed and engagement, such as scrolling. It uses cookie identifiers and technical information about your browser, device and approximate location to help us understand readership and improve the website. We rely on your consent for this optional measurement. We do not enable advertising personalisation or Google signals, and we do not send newsletter email addresses or form contents to Google Analytics. You can decline without affecting access to the website, or withdraw permission using “Analytics preferences” in the footer. Withdrawal stops future collection; it does not automatically erase information already collected. Contact us if you wish to exercise your data rights.
Providers and international processing
The services used for the launch setup are MailerLite for newsletter subscriptions and delivery, Microsoft for business correspondence, OpenAI Sites and Cloudflare for website delivery, Google Fonts for typography, and Google Analytics for optional website measurement. Google’s Analytics data-processing terms describe its processing arrangements and relevant international transfer safeguards; see Google’s Data Processing Terms. MailerLite’s Data Processing Addendum describes international processing and incorporates standard contractual clauses with the UK Addendum for relevant UK transfers. Microsoft documents transfer safeguards for its online services, including Exchange Online. These services may process information outside the UK. Where a restricted international transfer is involved, an appropriate safeguard is required, such as an adequacy regulation or approved contractual safeguards. Contact us for information about the safeguards relevant to your information. OpenAI’s Sites Data Processing Addendum covers personal information hosted on our behalf and incorporates standard contractual clauses with the UK Addendum for UK data. Cloudflare also documents contractual safeguards for relevant UK transfers. These safeguards do not mean that information is stored only in the UK. Information about the arrangements is available in OpenAI’s Sites Data Processing Addendum and Cloudflare’s Data Processing Addendum.
How long information is kept
Google Analytics is configured to retain event-level information for two months and user-level information for 14 months, without extending user retention on each new visit. These settings do not apply to Google’s standard aggregated reports, which may remain available for longer. Your browser analytics preference and our configured Analytics cookies last up to 180 days.
We keep your active subscription while you want to receive The Thoughtful Edit. If you unsubscribe, newsletter sending stops. MailerLite retains the subscriber profile and associated delivery and click history until permanent erasure is requested; unsubscribing or using its ordinary “Delete” action does not erase that history. We review retained subscriber records annually and arrange permanent erasure where they are no longer needed. A minimal opt-out record may be kept separately where needed to prevent further marketing. You can contact us to request erasure; we will explain any information we need to retain and why.
We review records monthly. At each review, we initiate permanent removal of signups that remain unconfirmed more than 30 days after signup, where the provider supports this. MailerLite’s permanent-removal process can take a further 30 days to complete; its ordinary “Delete” action does not erase the underlying information. At the monthly review, we also delete routine resolved enquiries that have passed 24 months since the last meaningful correspondence. Information that is no longer needed may be removed sooner. Where a complaint, dispute or legal obligation requires a longer period, we record the reason and retain only what is relevant until that need ends.
Your rights
Depending on the circumstances, you can ask to access, correct or erase personal information, restrict its use, object to processing or receive information in a portable format. You may withdraw consent at any time. You have an absolute right to object to use of your information for direct marketing. Other rights can depend on the purpose and legal basis of the processing. Contact us using the details above to exercise your rights. You can also complain to the Information Commissioner’s Office.
Choices and changes
Providing an email address is voluntary, but we need it to send the newsletter or reply by email. We do not sell subscriber details. This website does not use automated decision-making that produces legal or similarly significant effects. If our practices change, we will update this notice and obtain a new choice where required.
Scope
There is no checkout or customer account on this editorial website. Any future product requiring additional information will need its own accurate privacy information before it is offered.
